A key part of the set up for using Sales Sequences as part of the Sales Accelerator functionality in Dynamics 365 is making sure your records can fall in to those sequences automatically. Doing this means your new processes and guidance for sellers can be automated without the need to manually add Leads/Contacts etc. in to them. In this post in the series we will look at how you can create a segments to use with D365 Sales Sequences.

First, go to the Work assignment area in the Sales accelerator admin area in the Sales Hub app. Select the record type. When no segments already exist for that entity you will see a big blue button in the middle to create your first segment.

When you already have at least one segment, you will see a list of the segments with a new segment icon as a button at the top of this list.

To get started we need to give the segment a name, add a description for clarification of the purpose, and a priority. Records that meet the criteria for multiple segments will be assigned to the one with higher priority. You can change the priority anytime.

Going to the next step and this is where we set the criteria or conditions to determine when records would be added to the segment. This is very similar to creating a view in other areas of dynamics. In the segment below I want Leads that are Open that are not linked to a Contact already, and where the source form contains a specific marketing form (based on using Customer Insights – Journeys).

Clicking on the Segment properties button allows you to get back and change the name, description or priority. The Previously segmented record toggle allows you to take records that were already brought in to a different segment which would connected the record to a sequence linked to the segment.

Once you activate the sequence, any records that next meet your criteria will be found in the segmented tab on the segment. It will not go back through and add existing records that already meet the definition logic but you can easily create a view to find records and link them to a sequence directly.
